Overview
Staying on top of scheduled maintenance and compliance is critical for keeping your fleet reliable and operational.
Service Tasks help you track upcoming services, view service history, and ensure no task is overlooked. Within the Service Tasks screen, you can filter tasks by status—such as past due, due, almost due, scheduled, or completed—and add service records or schedule new tasks. For vehicles with prior service, you can create a Service History Record to document completed work using Task Codes and Issues. For new assets, you can schedule their first service task by specifying the next due interval based on date, odometer, or engine hours. By combining service tracking with detailed records, this feature ensures maintenance stays organized and aligned with your fleet’s needs.

View Service Tasks
To view Service Tasks, follow these steps:
- In the left-hand navigation, select the "Maintenance” service module.
- In the top navigation, select "Service Tasks."
Please note, if you do not see this feature, you will need to contact an Administrator. Only Account Administrators and Administrators can change your permissions. You will need Maintenance > "All" access.
Service Task Navigation Overview
While viewing Service Tasks, you can

Search and filter service tasks across the table's header (1)
- Asset: Type into the asset field to search by asset.
- Task Code: Type into the task code to search by task.
- Service Type: Use the dropdown to filter by service or compliance types.
- Status: Use the dropdown to filter by status.
- Past Due
- Due (<10% left)
- Almost Due (20 to 10% left)
- Scheduled
- Completed
- Due At: View when the service is due.
- Completed On: View the date the service was completed. (Field is empty unless service is completed.)
- Last Service: View the date of the last service.
- Cost: View the total cost for the completed service.
- Cost is calculated based on the "Task Code" for scheduled services, or was manually input if the completed service was created manually through the "Create Service History" button.
- Create a Work Order
- Work Orders offer a structured, trackable way to resolve scheduled service tasks and issues, improve cost management, and document parts and labor for multiple tasks. Creating and resolving Work Orders automates issue resolution, resets the clock on reoccurring service tasks, and updates your inventory.

Schedule Service
- If you haven't entered any asset history for a needed service, click “Schedule Service” to plan the asset's upcoming service. Provide Asset, Task Code(s) and the next-due interval from Date, Odometer and Meter Hours.

Create Service History Record
- If your asset has recently been serviced and you are setting the first record, click “Create Service History Record” and provide the required information. The next service will be scheduled based on the work that was completed.
- Click the checkmark to complete an upcoming or past due service. This will reset the clock on the service.
- Click a menu option for completed services to update or delete the record.
- Edit Pencil Icon: Update task code, associated issues, service task, vendor or technician assigned as well as cost.
- Trash Can Icon: Delete the scheduled service.
- Arrow Icon: View details. Update task code, associated issues, service task, vendor or technician assigned as well as cost. Add documents or images.
Schedule Service
If you haven't entered any asset history for a needed service, click “Schedule Service” to plan the asset's upcoming service. Provide Asset, Task Code(s) and the next-due interval from Date, Odometer and Meter Hours. To learn how to schedule a service, watch the short video below.
Create Service History Record
If your asset has recently been serviced and you are setting the first record, click “Create Service History Record” and provide the required information. Complete an Upcoming Scheduled Service
When you complete a compliance or maintenance service, ensure to mark the task as complete. Watch the short video below to learn how.
Update or Delete a Completed Service
For completed service records, you may need to adjust the date, time, technician/vendor, and or cost. You may also want to connect the record with an issue or add documents/images. Watch the short video below to find out how.
(Please note, you cannot delete an upcoming service. You must first complete the service and then delete it.)
