There are a few steps to Setting up Hours of Service rules within IntelliShift. In this guide, we will be covering setting up each of these items in full detail.

Creating a Motor Carrier
- Log into IntelliShift
- Click the Hours of Service app from the left-hand side of IntelliShift
- Within the Hours of Service app, users will be brought to the HOS dashboard.
- On the Top of the HOS dashboard click Administration
- Within the Administration tab, click Motor Carrier Fleets
- Click Create New
- Enter the Name of the Motor Carrier
- The Name of the Motor Carrier should match to how the organization is registered with the DOT.
- Enter the DOT Number
- The DOT Number should be the Number registered from the DOT.
- Select the branches which will apply to the Motor Carrier.
- The Select Branches is what allows the operators to Connect to the Asset.
- Click Save
Creating an Hours of Service Rule
- Log into IntelliShift
- Click the Hours of Service app from the left-hand side of IntelliShift
- Within the Hours of Service app, users will be brought to the HOS dashboard.
- On the Top of the HOS dashboard click Administration
- Within the Administration Page, click HOS Rules & Assignments
- Click Create New
- Fill in the following details to build your HOS Rule
- Name - Name the Hours of Service Rule so it can be identified.
- Default - Users can Select Yes or No for default. Defaulting the rule allows the user the apply this rule to all operators.
- Time Zone - Time zone allows the setting of Eastern, Central, Mountain, & Pacific Time Zones. The Time zone should be selected in accordance with the reporting location of the operator(s).
- Multi-day Basis - Users can select US 60 Hour, US 70 Hour, and CA Intrastate. Each of these rules identifies the Shift, Drive, and Cycle time of the operators.
- Driver Type - The Driver Type allows the users to identify Property-Carrying, Passenger-Carrying, Ready-Mix, & CA Intrastate. This will define the rules further that each of the operators will need to comply with, such has rest break times and time needed to reset Shift, Drive, and Cycle limits.
- Exempt Log Type - Users can define Air-mile exemptions such as the 100 or 150 air-mile exemptions.
- Yard Move - Enabling this allows operators using this rule to enable yard move. Yard move allows the operator to move the asset within the yard and have the Drivetime recorded as On-Duty Time.
- Personal Conveyance - Enabling Personal Conveyance allows operators to enable this exemption. Personal Conveyance allows the operator to move the asset while the operator falls outsides the requirements of business functions.
- Adverse Driving Conditions - Adverse driving conditions provides operators the ability to increase their drive time by 2 hours in the event there is an unforeseen circumstance that has caused the operator a delay and needed up to an additional 2 hours of drive time.
- 16-hour Short-Haul Exception - Enabling this feature allows operators who fall within the correct requirements of the FMCSA to enable a 16-hour shift limit once per cycle. This will increase the operator's shift time by 2 hours.
- Pre/Post Trip Inspections- Setting this feature to Mandatory will provide prompts to their operators to perform Inspections on their assets.
- When the operator Connects to the Asset and Goes On Duty the Operator will be prompted to perform their Pre-Trip Inspection
- If the Operator clicks the rescan button without performing a post-trip inspection, the operator will be asked to perform their post-trip inspection.
- Once the operator connects to the new asset, the operator will be asked to perform the pre-trip inspection for the new asset that they are operating.
- If the operator tries to sign out of SP Logbook without performing the post trip inspection, the operator will be prompted to complete a post trip inspection.
- If the rule will not be set as default, the user can select what operators should be applied to this rule. Users can apply operators at a branch level or by an individual operator level.
- Click Save.
Creating DVIR Templates
- Log into IntelliShift
- Click the Hours of Service app from the left-hand side of IntelliShift
- Within the Hours of Service app, users will be brought to the HOS dashboard.
- On the Top of the HOS dashboard click Administration
- Within the Administration Page, click DVIR Setup
- By default, all assets will get a default list of items for the vehicle inspection. However, users can create a custom DVIR template by clicking "Create New"
- Users will need to Name the DVIR template so it can be identified among the other templates.
- Notes will provide additional explanation of the templates
- The Send Real-Time Email Alert on Reported Issues allows designated members to get an email notification upon the completion of the inspection of an asset where an issue was reported. (Multiple members can be added to this email recipient list, the emails just need to be separated by a semicolon ";")
- Ensure that the DVIR Template is assigned to the appropriate branches. DVIR templates are assigned to branches. So when the operator completes an inspection on an asset it will load that assets configured template based on the branch that it resides in.
- From the Bottom Left side of the screen select all of the applicable DVIR checklist items that apply to this inspection template
- If Custom items are required, at the bottom of the DVIR items is a button labeled "Create New" where users are able to create their own custom DVIR items to be added to their inspection form.
- Once Completed click Save.
- The Process can be completed per branch to ensure that all branches have the proper members receiving the DVIR notifications as well as have all of the necessary custom items to be inspected per asset.
