Viewing Hours of Service within IntelliShift provides its users with the ability to keep track of their operator's Hours of Service details in real-time. It will provide visibility into everything from the Inspections of the Assets, Currently remaining hours for their Operators, to Viewing / Completing Edits as a user.
In this guide, it will cover the following items:

Hours of Service(HOS) Dashboard
Accessing the HOS Dashboard
- Log in to Intellishft
- From the Left-hand side of the screen click the Hours of Service app
- Users will be brought to the Hours of Service Dashboard
HOS Dashboard Overview
- Once the user is within the Hours of Service Dashboard the User will see 3 sections at the top of the Screen
- DVIR - The DVIR section contains the number of missing Pre-Trip & Post Trips that were not filled out by the operator, as well as the number of Inspections where Assets were found with issues.
- If the user mouses over the field it will provide further information like the Operator's name, and then mousing over the Operator's name will provide the Date of the missing inspection or date of the inspection where an issue was reported.
- Clicking the Date will direct the user to the Driver log, for the missing inspection or DVIR for an inspection with a reported issue.
- HOS Violations - The HOS violations will display the number of violations per violation category.
- if the user mouses over the violation category, it will display the operator's that have these violations.
- If the user mouses over the operator's name, the user will be able to see the date of the violation.
- By Clicking the Date, the user will be directed to the driver log where the violation occurred.
- Edits - The Edit's section provides users with visibility into Edit's that are made from within IntelliShift as well as the SP Logbook App
- It will display statuses to the user the number of Edit's within each Category
- Pending - Edits that have been made by an IntelliShift user that is still currently pending, which is not approved or rejected.
- Approved - Edits that have been made by an IntelliShift user that has been reviewed and approved by the operator.
- Rejected - These are the list of edits that have been sent to an operator to view and the operator did not agree with the set of changes that had been made and the operator had rejected those changes.
- Driver Initiated - Driver initiated represents the number of edits made by an operator from within the SP Logbook app.
- It will display statuses to the user the number of Edit's within each Category
- Below the sections described above contain the list of the operators utilizing SP Logbook. Within the dashboard of operators, it displays the real-time data that can be found within the Status page of the SP Logbook app, so users can be just as informed as the operators on the road.
- Cycle Reset - The Date and Time that the operator's cycle had last reset.
- Rested - How much time the operator has before a rest break is needed.
- Shift - How much time the operator has left on their shift time.
- Drive - How much time that the operator has within the Driving limits.
- Cycle - How many hours on the operator has left on their cycle.
- Rest, Shift, Drive & Cycle times that are highlighted in red within the dashboard are Warnings, these are indicators to warn users that if an operator were to begin operating an asset without completing the necessary rest time that they would generate an actual violation.
- Located above the Edit section allows users to filter the dashboard. They will have displayed a filter of branches where it can be used to filter what operator's to display within the HOS dashboard based on the operator's branch assignments.
- DVIR - The DVIR section contains the number of missing Pre-Trip & Post Trips that were not filled out by the operator, as well as the number of Inspections where Assets were found with issues.
Viewing an Operator's Log
- From within the Hours of Service Dashboard users can locate the driver in 2 ways
- Scrolling through the list from within the dashboard itself and clicking the operator's name.
- From the left-hand side of the HOS dashboard, the user can click the word "Drivers". Within this, the user has the ability to type an operator's name and select the operator.
- Once the operator has been selected, the user will be brought to operator's HOS.
- The top of the page it will display the remaining counters for that specific operator.
- Below the counters, it will display a list of driver log dates, asset names, Trailers, and Starting Locations.
- Click the view driver log button to the left of the log date.
- From there, on the right side of the screen, the driver's log will be displayed.
- The Driver's log will contain the asset information at the top, the graph in the middle, and the duty status changes at the bottom.
Editing an Operator's Log
- From within the HOS Dashboard locate the operator that an edit needs to be completed for.
- Click the operator's name
- From within the Operator's page, select the edit pencil button to the left of the log date
- This brings the user to the edit screen for that driver log.
- At the top of the screen, it will display the graph.
- Below the graph, it will contain a list of all of the duty status changes, their Duty Status, Start Time, Duration, Location, and Remarks.
- Users have the ability to perform the following Edit functions
- Add a New Entry - At the bottom of the page the user can add a status to the bottom of the log, the Start time, must later than the last recorded status.
- Insert - The insert function will be displayed next to each duty status, this allows users to enter a new status above the entry where the Insert button was clicked.
- Delete - Next to each duty status as well contains the delete function which gives the user the ability to remove a duty status from the operator's log.
- Modify - Each of the statuses as well can be modified by changing the start time, to modifying the operator's duty status.
- Each of these functions requires the user to enter a remark, to identify the reason for the change for that entry. For the functions of Add a New Entry and Insert, it will require the user to enter the location(City, State) along with the Remark.
- At the bottom of the page click Submit.
Viewing HOS Violations
- There are a few ways to view HOS violations from within the HOS Dashboard
- From within the Top of the dashboard, the HOS Violations will display a list of the violations for the current cycle.
- From the left-hand side of the page, the user can click Reports
- From within the Report's menu, click Hours of Service Violations
- The user will be brought to the Violations page, within this page the user will be able to filter the page to display violations over a specific date range, or even by a single operator.
- Below the filter option contains a list of all of the violations that fall within the criteria of the filter.
- Click the Operator's Name of the violation that you want to view more details on the violation
- It will load the operator's log on the screen and a section below the graph where the user can click the violation for a red line to be placed on the graph to get a visual representation of the time when the violation had started.
Viewing Driver Vehicle Inspection Reports(DVIR)
Users have 3 ways to access DVIR's from within the Hours of Service Dashboard.
- The user can click a operator's name from within the HOS Dashboard or from the Driver's filter option from the left side of the dashboard. From within the Operator's page, the user can click the Page icon to the left of the log date to view the DVIR for that log.
- From the left-hand side of the HOS dashboard within the Reports menu, the user can click "Driver Vehicle Inspection Reports"
- The DVIR page allows the user to filter the report by Asset, Operator, Date, and even display inspection with Issues only.
- Click the inspection that you want to view the full DVIR for.
- For the DVIR's with issues, the user can click the button "Not Scheduled" to schedule the issues for repair. This will create a work order within IntelliShift's Vehicle Service application.
- From the left-hand side of the HOS dashboard, the user can click Export.
- From within the Export menu, the user can click "Driver Vehicle Inspection Report"
- Within the DVIR export page, users can select the Date Range of DVIR's to export and the list of operators who completed the inspections to export their inspections to a PDF file.
Unassigned Drive Time
Unassigned Drive Time is the time that assets are being utilized where no operator has been identified as operating the asset.
- Within the HOS Dashboard, the user will click Reports
- Within the Reports menu, click "Unassigned Drive Times"
- Within the Unassigned Drive Times page, users will be provided a list of recorded events not claimed by any operator.
- Driving - The time where the asset was in motion
- On Duty - Time recorded where the asset was stopped.
- At the top of the page, users can filter the report by Asset and specify a specific Date Range.
- The list of recorded unclaimed events can be sorted by Start Time, Asset, & Status.
- Click the checkboxes to the left of the events that you want to assign to an operator
- Click Assign
- Select the Operator to assign the time to.
- Once the operator has been selected it will display the merged driver log
- Merged Driver log - The Driver's actual recorded log in combination of the new statuses being assigned that was previously unassigned.
- Each of the On Duty events can be changed Off Duty or Sleeper Berth
- Please Note: the Duration field is a representation of how long that unassigned event had happened for, assigning this event to a driver will not assign that status for that length of duration. It will add a new entry into the operators with the start time that the newly assigned event will only be created for the duration to get to the next recorded event.
- Click Assign
- The Operator will get a notification within the SP Logbook app to approve the unassigned drive time in order for it takes effect within the log.
Submitting Driver Logs to the FMCSA
Submitting Driver Logs to the FMCSA will be required through IntelliShift when there is an internal review of the driver logs by the DOT.
- Log in to IntelliShift
- From the App Menu, Click Hours of Service
- Within the Hours of Service App click Submit to FMCSA
- Within the Submit to FMCSA screen In Order to Submit the Driver Logs you will need to select the following:
- Start Date & End Date: The Start Date can be set up to 6 months prior to the current date. Driver Logs Prior to the last 6 months will not be able to be submitted to the FMCSA.
- Operators: Select the Operators that the DOT is looking to have the driver logs submitted for.
- Submission Method: Choose to submit the Driver Logs via Web Service or Email.
- Click Submit, you will be asked to Confirm the submissions of the Driver Logs.
- After confirming, you will be asked to Enter in the comments, in which you will enter the Investigation number that the auditor provides.
