Fuel cards are automatically added to the Fuel Manager Assignment page for assignment after their first transaction is received. If you prefer to pre-load your cards and assignments, you can add new cards to the Fuel Manager with two other methods:
Manually adding a fuel card
- Navigate to the Fuel Manager service module > Tools > Manage Fuel Cards
- In the upper right-hand corner, click "Add Fuel Card"
- Select from your existing Fuel Manager Accounts (see Fuel Manager Administration)
- Enter the fuel card number
- Add an optional name
- Add an optional expiration date
- Select "Assign To" for either an Asset (vehicle) or Operator (driver)
- Select the Asset or Operator to assign the card to from the drop-down menu or by searching by name
- Set an assignment duration of either "Until Removed" or a specific date
- Optionally name the fuel card
- Optionally add an expiration date to the fuel card
- Press Add to finish adding the new card
Importing a fuel card
- Navigate to the Fuel Manager service module > Tools > Import Fuel Cards
- Review instructions by clicking on "Instructions"
- First click "Download Template"
- Open the CSV template with a program like Excel or Google Docs and add the following details:
- Fuel Card Number - must be between 4-20 characters and not already present within the account
- Fuel Card Name - Optional
- Fuel Account Name - Specify which existing Fuel Manager account the card belongs to.
- Expiration Date - Optional in yyyy-mm-dd format
- Notes - Optional
- Save the file without changing the file type
- Navigate back to the Fuel Manager service module > Tools > Import Fuel Cards
- Click "Add Document" to upload your document.
- Click "Next" in the bottom right-hand corner and continue to follow the instructions to import our fuel cards.
